These are all singular pieces that make up a person’s story. Put enough of those pieces together across a few people and you have a data set. Make a few collections of those pieces over time and now you have something powerful.</span></p><p style="text-align:left;"><span style="color:inherit;">&nbsp;</span><br></p><p style="text-align:left;">One of the most common challenges I encounter when talking with our partners is how can you create and use a data set that dives deeper than race and zip code to not only satisfy reporting requirements from current and potential funders but drive real change and progress?</p><p style="text-align:left;"><br></p><p style="text-align:left;">A first step is taking stock of your organization’s mission and vision.&nbsp; As it pertains to your “Why?”, are you aiming your data collection at an outcome you want to change <i>and</i> an outcome your funders are interested in? Often, we find data collection is centered around the needs of the funders with our organizations finding benefits from their mandated data set. When your data collection is mission driven, the information being gathered tends to be focused and meaningful.&nbsp; It becomes easier to get your team and families rallied around the process of putting good data into your collection tools.&nbsp; And, as we all know: good data in, good data out. </p><p style="text-align:left;"><br></p><p style="text-align:left;">Another major step is reconsidering family and community engagement. Families are the real guiding light of the organizations we partner with.&nbsp; They provide insight into the real factors effecting their lives and access to that insight is only available through trust.&nbsp; Collecting data that is meaningful to real people who allow you into their lives and being able to provide feedback to the community bolsters support from those to matter most.&nbsp; It also creates the opportunity to move the needle with funders by having the voice of the community behind your work.&nbsp; </p><p style="text-align:left;"><br></p><p style="text-align:left;">Our CBO partners always have a great story to tell. &nbsp;Combining clean, meaningful data with real evidence from the people they are serving, powered by their belief in their mission, creates a megaphone to get funders and policy makers to listen to their story.&nbsp; For a stellar example of this work in action, check out the <a href="https://www.comet4children.com/GROW_COMETCaseStudy_1.pdf">COMET Success Story for the GROW program</a> here in Rochester.&nbsp; The GROW team has used the collective voices for the families they serve to guide their scaling to all children, 12-60 months, over a 13 county region of Western New York while drawing in funders that range from insurance companies to New York State Office of Children and Families.</p></div>

It is pretty darn easy to use a spreadsheet to organize and understand a set of information. However, it is not a database. Managing an organization using spreadsheets can quickly become a time burden and present data quality and security risks, especially if you have sensitive individual information.</span></p><p style="text-align:left;"><br></p><p style="text-align:left;"><span style="font-size:14px;">Databases are a much better way to efficiently track information, accurately and securely. A database stores data in “spreadsheet-like” tables. Properly organized databases store one type of data in each table. These tables each have an identifying column or “key” that is used to join related tables together. Modern database technology supports complex filters (queries) into the data, with very fast retrieval and powerful reporting. Once you set up the right filters and reports, it is then a simple matter to regularly produce required information - with little to no effort, and no manual errors. If data is updated once, it’s updated everywhere. In some cases you can even track longitudinal history and where and when the change took place. I went into the morning not knowing what to expect;&nbsp;my only understanding of the program was&nbsp;the notes that I had taken at our monthly meetings and the setup&nbsp;that we'd&nbsp;done internally for their database. I must say, I was completely blown away! The program was a well-oiled machine,&nbsp;from the in-take services to the vision screening, ultimately resulting in children being fitted for their own pair of glasses.&nbsp;</span></p><p style="text-align:left;"><span><br></span></p><p style="text-align:left;"><span>To work&nbsp;COMET into the process, we set up our online application to match the data that was being filled out by the participants. An employee at the University of Rochester was taking the information from the paperwork, entering it into the online application and submitting it, thus creating the child's record in COMET. Next, I worked with the team members in the back who were the ones completing the&nbsp;<i>Service Transaction</i>&nbsp;in COMET&nbsp;(using our Service and Case Management module) along with all corresponding data that was being collected on a given child. We used fake data for this trial phase so the process was a mock-scenario reflecting&nbsp;the flow of the program.</span></p><p style="text-align:left;"><span><br></span></p><p style="text-align:left;"><span>Feedback that I received after their initial exposure to COMET was very positive. The person who was entering data via the online application found that it was straight-forward and easy to use. After going to work with the team in the back, the process was easy to follow and the instrument to enter the data was a match with the data that they collected. If your programs are collecting data about the children and youth enrolled, you have hopes of sharing that data outside of your organization and you know parent consent is needed, here are some things to think about.</span></p><p style="text-align:left;"><span style="font-size:14px;"><br></span></p><p style="text-align:left;"><span style="font-size:14px;">We work with a lot of organizations who collect data and ask us to help them understand how to share that data with another organization (a partner, a funder, a school district, etc.). We usually explain to them that the how of sharing the data is almost always doable. There is often time and cost involved but connecting two data sources is not an impossible task. There also need&nbsp;to be legal agreements in place to share data between the organizations (more on that topic&nbsp;<a href="http://comet4children.com/blog/data-sharing-2" target="_blank">here</a>). However, often the hardest part&nbsp;which not everyone considers, is securing parent permission to share that data.</span></p><p style="text-align:left;"><span style="font-size:14px;"><br></span></p><p style="text-align:left;"><span style="font-size:14px;">A few tips we’ve shared with customers related to parent permission include:</span></p><ul><ul><li style="text-align:left;"><span style="font-size:14px;"><span style="font-weight:700;">Permission first.</span>&nbsp;Secure parent permission to share data from the start. Include consent forms for data sharing with your sign-up /registration process and secure that permission up front. This saves you from having to go back later on and connect with parents one-by-one to get permission.</span></li><li style="text-align:left;"><span style="font-size:14px;"><span style="font-weight:700;">Think ahead.&nbsp;</span>If you’re going to ask for permission to share data, you need to be specific, but also think ahead. If two years from now you’re hoping to connect with the school district, ask for permission to share with them now. This saves you from having to go back and ask permission or amend your forms down the road.</span></li><li style="text-align:left;"><span style="font-size:14px;"><span style="font-weight:700;">Be specific.</span>&nbsp;Finally, you need to be specific about what data you’re going to share and who you are going to share it with. The language needs to be clear to the parents. A blanket consent to share any and all data with whomever you choose won’t work out well (at least, this what the lawyers tell us).</span></li></ul></ul><p style="text-align:left;"><span style="font-size:14px;"><br></span></p><p style="text-align:left;"><span style="font-size:14px;">At COMET, we work with our customers to the best of our ability to help them through thinking about what parent consent they’ll need, how best to collect it and where to store that information. The project started years ago with school districts wanting to look at school readiness. They worked with&nbsp;<a href="https://www.childrensinstitute.net/" target="_blank">Children's Institute</a>&nbsp;to bring&nbsp;<a href="http://comet4children.com/CaseStudies/recap" target="_blank">RECAP</a>&nbsp;to Chemung County. With RECAP they looked at assessing social-emotional health and other domains for Pre-K students with a focus on getting kids ready for kindergarden.</span></p><p style="text-align:left;"><span style="font-size:14px;"><br></span></p><p style="text-align:left;"><span style="font-size:14px;">Jump forward a few years, enter&nbsp;<a href="https://www.cidsfamilies.com/" target="_blank">CIDS</a>&nbsp;and their infant registration program. Because of the smaller size of their county and having only one hospital, CIDS was able to interact with the families each time a baby was born in their county. At the hospital, a nurse would ask the family a few simple questions and record data about the mother and the child's health. The County had a goal of wanting to connect all this information together - from birth to school age.</span></p><p style="text-align:left;"><span style="font-size:14px;"><br></span></p><p style="text-align:left;"><span style="font-size:14px;">The group decided to use COMET because of our connection with the Chemung RECAP team, who were already using the system. Two years later we've rolled out a case management system that records when a child is born and tracks referrals that may be made to programs like Nurse-Family Partnership or Healthy Families. As the kids grow and enter Pre-K, the system will have all their data going back to that initial infant registration on the day they were born.
